Documentation

Documentation your team will actually use

Most food businesses have a folder of procedures somebody downloaded, adapted loosely, and never opened again. It satisfies an auditor for about ten minutes, until they ask to see the records that go with it.

Documentation only works when it describes what actually happens on your floor. We write it that way, then make sure your team knows how to keep it running.

What we build

What we build for you

HACCP plan

Hazard analysis based on your process, not a generic one. Critical control points identified properly, limits set with reasons behind them, monitoring that someone can realistically do during a shift, and corrective actions that make sense.

Standard operating procedures

Written for the people doing the job. Short, clear, in language your team reads without difficulty.

Record formats

The forms that prove the system is running. Designed to be quick to fill in, because forms that take too long do not get filled in honestly.

Food safety manual

The document that holds it together and that an auditor will ask for first.

Prerequisite programmes

Cleaning, pest control, maintenance, personal hygiene, supplier approval, waste. The foundations underneath HACCP.

Traceability and recall procedure

How you would trace a batch and what you would do if you had to withdraw one. Most businesses have never tested this until they need it.

Why downloaded templates fail

  • They describe a process that is not yours, so nobody follows them
  • Critical control points are copied rather than identified, so the ones that matter to your product are missed
  • Record formats ask for information nobody collects
  • The manual references equipment you do not have
  • Nobody on the floor was involved in writing them, so nobody owns them

An auditor will spot all of this quickly. So will the first thing that goes wrong in production.

How we work

  1. 1

    We come and look

You cannot write a HACCP plan from a phone call. We walk the process.

  2. 2

We talk to the people doing the work

They know what actually happens, which is often not what the old procedure says.

  3. 3

    We write it around reality

Then we fix the gaps between what happens and what should.

  4. 4

We train your team on it

Documentation nobody understands is documentation nobody follows.

  5. 5

We check it is being used

A short review after a few weeks, to see whether the records are actually being kept.

Common questions

How long does a HACCP plan take to build?

For a small to medium unit, usually two to four weeks including the site visit, drafting, review with you and training. Larger or multi product operations take longer.

Do we need HACCP if we already have an FSSAI licence?

FSSAI Schedule 4 requires food safety management appropriate to your business, and for many operations that means HACCP based systems. Separately, customers and certification bodies often ask for it regardless.

Can you update documentation we already have?

Yes, and often that is the sensible route. We review what exists, keep what works and rewrite what does not.

Will our team be able to maintain it after you leave?

That is the point of involving them while writing it and training them on it afterwards. If something stops working later, you can call us.

Do you provide the documents in a format we can edit?

Yes. They are your documents and your system will change over time.

Can this be done remotely?

Parts of it. The hazard analysis needs someone on site to see the process. Drafting, review and revisions can be done remotely.
